Using Otter + Toast POS Integration with ZipFleet

Many of our customers rely on Otter’s integration with Toast POS to streamline their online ordering operations. This article explains what the integration is, why it matters, and how to ensure your menu and order flow are working seamlessly.

What Is the Otter + Toast POS Integration?

The Otter + Toast POS integration connects your Toast point-of-sale system with third-party delivery platforms (like Uber Eats, DoorDash, Grubhub, etc.) through Otter. This connection creates a real-time sync between your POS and your delivery channels, reducing manual work and keeping everything aligned automatically.

Instead of entering delivery orders by hand or managing multiple menus across platforms, the integration ensures everything flows smoothly into Toast—saving time, reducing errors, and helping your restaurant run more efficiently.


Menu Management & Best Practices

Before enabling the integration, ensure your Toast POS menu is optimized and delivery-ready. Follow these best practices:

  • Add all relevant categories for your delivery menus in Toast.

  • Ensure all items, variations, and modifiers are set up exactly as you want them to appear online.

  • Review names, descriptions, and pricing to make sure they are accurate and customer-friendly.

Otter will sync this menu across delivery platforms, so what you see in Toast is what your guests will see on apps like DoorDash or Uber Eats.

How to Edit and Resync a Menu from Toast POS to Otter

Menu resync allows you to import a menu from your Source of Truth (SOT)—in this case, your Toast POS—into the Otter platform. Through Otter’s Menu Management tool in Business Manager, you can manage, edit, and publish those menus across your delivery platforms with ease. Below, we walk through how to resync and update your menu from your POS to Otter.


What You Can Do with POS Menu Management:

  • Import menus directly from your POS

  • Test new products, categories, and images

  • Customize menus by location

  • Tailor items, modifiers, and prices per delivery platform

  • Upload or import item photos from POS or delivery apps

  • Optimize item photos for a polished menu look

  • Duplicate menus and hours

  • Create separate menus based on time of day

  • Add tax, item tags, and cuisine types

  • Preview your menu before publishing

  • Publish to your delivery platforms with a few clicks


When Should You Sync a Menu?

  • Anytime you add, remove, or update items in your POS

  • If you notice order injection issues (e.g., orders not appearing in your POS)

  • When items appear as unlinked in Otter

  • When a new delivery platform integration is added

  • Anytime you want to push new edits or updates live


Step-by-Step: Editing and Re-syncing Your Menu

Step Instructions
1 Click Manage POS Links to open the POS-Otter linking interface. From here, you can:
- Check the sync status
- Link unmatched items
- Pull changes from your POS
2 Click Update from POS to pull the latest changes. Otter will automatically attempt to match items and modifiers. If some don’t match, they’ll be flagged for manual review.
3 Review unmatched items and modifiers. Use the checkboxes to decide how Otter should handle updates:
- Update Names – Replace Otter names with POS names
- Update Descriptions – Replace Otter descriptions with POS data
- Update Prices – Replace Otter prices with POS prices
- Delete Unlinked – Remove items in Otter not found in POS (recommended)
- Create and Link – Add missing POS items to Otter
4 Once selections are made, click Update. If you’d prefer not to apply changes, click Skip. Only linked items will be retained and updated.
5 After linking, exit the linking window. Your POS and Otter menu are now synced.
6 Go to Menu Settings to configure:
- Automatic menu imports from POS
- Automatic publishing to delivery platforms

✳️ Note: These settings can be enabled by request through ZipFleet Support.
7 If automatic publishing is not enabled, go to the Menu page and click Publish Menu (top-right corner). Select the delivery platforms you want to push updates to, then click Publish Menu at the bottom.

⚠️ Failure to publish updates may result in order injection issues.
 

What’s Needed for Order Injection to Work Properly?

Order injection works when your menu is fully “Synced.” This means the menu in Otter must match exactly what exists in your Toast POS. Even small differences in item names or modifiers can cause injection failures.


Setting Up Automatic Menu Sync

To automate menu syncing from Toast to Otter, follow these steps:

  1. Open the Menu app in Otter and click the Settings gear icon in the top-right.

  2. In the Menu Sync tab, toggle Automatic updates from POS Menu ON.

  3. Select the menu fields you want Otter to update automatically from Toast POS.

    • ⏰ Note: Updates run every 6 hours.

  4. Choose whether you want Otter to just save updates or also automatically publish them to delivery platforms.

⚠️ Important Notes:

  • If you're using Advanced Pricing, be sure to uncheck prices during automation setup.

  • If menu publishing isn’t automated, updates will appear in Otter but won’t push to delivery channels unless published manually—this can impact order injection.
